Role Overview  

As our HLS Healthcare Marketing Event Coordinator, you will play a crucial role in planning, organising, and executing a wide range of events across our business channels, ensuring their successful implementation from conception to completion. You will bring high energy and enthusiasm for our company purpose and exude all company values whilst doing it. You will have a natural creative flair that is bursting from the seams and love executing like no one else…

This is a newly created role. We are looking for an exceptional human bursting with creative flair, and ready to make a role their own baby. We need you to take this role to successful maturity and beyond, to eventually build out an independent ‘Events Department’ on its own merits.  

You will collaborate with various stakeholders, vendors, and team members to create memorable and seamless experiences for clients and attendees. This role requires strong organisational skills, attention to detail, excellent communication, and the ability to work under pressure. You need to “spin many plates” and love doing it.  


  • Event and project planning and execution 
  • Develop and execute HLS and external event projects, timelines, and budgets in coordination with clients and internal teams.  
  • Event and Expo main point of contact and management of online portals 
  • Lead the design and build requirements for exhibition stands and booth space 
  • Plan and coordinate marketing collateral, promotional material, and exciting competitions. 
  • Coordinate product and equipment logistics to and from event venues  
  • Coordinate Training and Educational events in Head Office showroom.  
  • Online event development and coordination  
  • Content and campaign planning and forecasting ROI – Manage pre and post event communication and collaboration opportunities per event, including creation of social media content for events, eDM’s, and digital and print partnership and promotion 
  • Coordinate staff flights, accommodation and catering bookings relating to events  
  • Maintain an annual event calendar including researching industry event opportunities. 
  • Vendor Management – Source and negotiate with vendors, including catering services, decorators, entertainment, and other suppliers. 
  • Manage vendor contracts, payments, and relationships to ensure seamless event delivery 
  • Work closely with our Social Media Guru on pre and post event content and live post/stream during events 
  • Open communications and alignment with Sales team goals and organisational objectives 
  • Develop and maintain event budgets, tracking expenses and ensuring cost-effectiveness. 
  • Provide regular financial updates to stakeholders and adjust as needed. 
  • Post event analysis and Reporting 
  • Responsible for conducting internal and external surveys in relation to all events and reporting for continuous improvement.  
  • Reporting responsibilities – report to Marketing Manager on monthly basis in relation to all 30/60/90 projects and provision for CEO report. budget vs actuals, outcomes and stats etc.

ABOUT YOU Requirements  

  • 1st and vitally important – Experience being an event coordinator & being across marketing
  • Detail-oriented and highly organised with meticulous nature 
  • Strong English written and speaking skills 
  • Ability to work well under pressure 
  • Strong leadership and teamwork skills 
  • Excellent time management skills with the ability to prioritise in the best interest of company goals 
  • Strategic and creative thinking and problem-solving abilities 
  • Customer-focused with a passion for delivering exceptional experiences 
  • Event attendance and interstate travel with some limited after-hours requirements where required. 
  • A high energy – high positive vibes individual
  • Cool and calm characteristic with a mature emotional approach
  • Be an inclusive and participatory member of the team bringing energy to the office and excitement for your role 
  • Tech savvy and up knowledgeable on the latest trends – advanced level of microsoft suite and applications
  • ‘roll-up your sleeves’ work ethic   
  • Experience with graphic platforms, e.g. Canva a huge advantage.

Mandatory requirements for successful application:

  • All vaccinations – covid and Flu 
  • Pre-employment medical background check 
  • Ability to travel interstate from time to time
  • Sense of humour


Tertiary qualification in Event Management or a related field, or equivalent experience 

Previous event or project managements experience (circa 2+ years) with knowledge of Australian event and marketing landscape – additionally, an understanding of the media and content landscape in Australia healthcare industry would be beneficial 

Email marketing experience highly favoured and use of Campaign Monitor would be beneficial
